1 Introduction to MediScan® 1 The MediScan® imaging system is a flexible image, video and patient data management system. It is designed to capture, organise and distribute images and video data with a minimum of fuss. The MediScan® imaging system delivers high quality digital images, videos and patient management for a number of medical environments.
The MediScan® imaging system is capable of capturing and storing a wide variety of digital still images, which can be used to visually document a patient's history. These images can be annotated with relevant clinical information. In addition to images, a written history database is included. Other relevant patient records that are available in electronic form can also be linked to the MediScan® record. The stand-alone MediScan or MediScan client is suitable for use in a patient environment.
MediScan® imaging system also provides a facility to export patient data to a CD or DVD for distribution or archival purposes. The MediScan® Viewer enables this data to be retrieved and viewed from any standard Windows PC. MediScan® can operate as a simple stand-alone image capture unit, or as part of an integrated network system. In a networked environment, data capture and retrieval can occur from any location on the network, allowing many users to share and review data from a number of locations.
MediScan® can also run in a simplified mode. This mode (described in Section 5) is intended to provide a streamlined video and still image capture method, with maximum ease of use. Data recorded in this mode can be later reviewed and annotated in the advanced mode.

Intended Purpose
The MediScan® imaging system is designed to be operated by medical practitioners for the purpose of acquiring and storing digital images videos and related patient data. It is intended for use in clinical and operating theatre environments.

2 Precautions & Warnings The MediScan® imaging system is not suitable for use in operating theatre within 0.5m of sources of flammable anaesthetic mixtures with air, oxygen or nitrous oxide.
Do not connect any other piece of electrical equipment to any component of the MediScan system, unless specified by DP Medical Systems Ltd. Doing so will compromise the requirements of IEC 60601-1-1. In particular, additional MPSO units or extension leads shall not be connected to the system.
Connecting this system to other medical devices must only be done by qualified personnel to ensure the electrical safety of the system and that the resulting system should meet the requirements of IEC60601-1-1.
Do not attempt to operate the MediScan® imaging system in the presence of sources of strong electromagnetic interference, such as Magnetic Resonance Imaging (MRI) equipment or electrosurgery devices.
MediScan® must not to be used as a primary video monitor where the loss of video signal could directly or indirectly cause injury to patient or operator.
Do not place the MediScan® unit on the floor.
MediScan® must not be used for purposes other than as described in this manual.
With the exception of the operations below, DP Medical Systems Ltd must undertake all repairs and modifications. DP Medical Systems Ltd will make the following available on request from approved service personnel: component part lists, descriptions and calibration instructions. There are no user-serviceable parts within the MediScan® unit (including the PC motherboard components, such as the CMOS battery).

The user is authorised to do the following:
Replacing printer paper and toner/inkjet cartridge;
Installing software upgrades supplied by DP Medical Systems Ltd (see Section 9.1), when instructed to do so by helpdesk staff;

Replacement of printer & camera;
Replacement of footswitch.

Footswitch (if applicable)
The MediScan® Onyx imaging system comes with a footswitch to capture still images and video against a patient visit. There are two buttons on the footswitch: one called STILL which will capture a still image and another called VIDEO which is used to capture video recordings. Tap the video button once to start recording and once more to stop the recording. Figure 1: Footswitch

Wireless presenter with Laser Pointer
The Kensington® Wireless Presenter with Laser Pointer can be used as an alternative to the MediScan® footswitch.

Networked System MediScan® can be configured to operate in a networked environment. In this configuration, a number of MediScan® clients are linked by the network to a central MediScan® server.
Data is collected at each of the client installations. It is temporarily stored on the client system (i.e. "cached"), and then uploaded to the MediScan® server. The server acts a common storage area for the data, which, once uploaded by one client, can be viewed and annotated by all of the other clients on the network. The server also allows a common backup regime to be implemented. Data Storage
The MediScan® systems come equipped with the capacity to capture video footage as well.
In the MediScan® imaging systems, all still images are kept on the system permanently, and need not be manually archived. As with all computer data, however, it is prudent to make back up copies.
Text data, still images, and file attachments are uploaded automatically to the MediScan® server, while video files can be uploaded manually or automatically. See Section 6.5.1 for further details on uploading video. Still images, letters, and video can also be archived to CD or DVD if desired. See Section 7.8 for details on image and video archiving to removable disk.
See Section 7.8.1, for details on how to make a permanent copy of the video file.

Printer
If you requested the optional printer, the printer will arrive partly installed. Refer to the printer manufacturer’s manual for further information on the printer. Figure 3: Printer (optional feature)

4 Starting the MediScan® Imaging System 4.1
Installation
Your MediScan® imaging system will arrive in a number of packages. On delivery, you should confirm that you have received the following items: Panel PC system 1. The MediScan® imaging system Panel PC 2. Keyboard and mouse 3. Footswitch or hand remote 4. Manual and how-to guides in electronic form
4.2
Switching On
Your MediScan® imaging system is pre-installed with all necessary software. Switch the system on using the power button on the Panel PC, and the MediScan® imaging software will start in approximately one minute.
Caution: The Power switch on the unit is not a mains switch, and does not disconnect the unit from mains power. Nor does the Power indicator always indicate the presence of mains within the system. The system will remain powered until the power cable is disconnected from the mains power point. The MediScan® imaging software will start in about a minute or so. Enter your username and password to log on. There is also a MediScan® icon on the Windows desktop. Use this to re-start the MediScan® imaging software if you exit from the program.

Connections
Check that the power cables are plugged in. For safety reasons, cameras and other sources of input signals should be powered via their own isolation transformer if required. The MediScan® imaging system can take still pictures and record videos from HD, S-video, or composite video signals. Connect the output of your video camera to the appropriate socket on MediScan®.
HD, S-Video, Composite may be used for video capture.
DP Medical Systems Ltd technicians will perform the initial installation and configuration of the network MediScan® system.
4.3.1
Logging onto the MediScan® system
When the MediScan® has powered up, you will be presented with a log-on dialog box. A valid user name and password must be provided before you can use MediScan®. See your system administrator to obtain a user name and password. A default user name “admin1” and password “admin1” is set up on the system at delivery. Figure 4: Logon Screen Note: This MediScan® logon is separate from the Windows logon. Your password can be changed at any time while using MediScan®. Select the main menu item: Tool > Change Password to display the ‘Change Password’ dialog box. After entering your current password and Page 19

MediScan user manual new password, press ‘OK’. A dialog box will then confirm the success or otherwise of the operation. After logging onto the MediScan® server, should the network connection be broken for any reason, you will be warned of this event.
Figure 6: Network connection broken In the case where a video file is being uploaded during the network interruption, the file will still be locally cached. The file can then be re-uploaded manually when the network connection is re-established.
MediScan® Operating Mode Selection

MediScan® can be operated in Simple or Advanced mode.
Simple mode - Patient Name, MRN, and video/still capture only. See Section 5.
Advanced mode - Full data capture and review functionality. See Section 6.
In Simple mode, you have the ability to:
open a new patient record
capture video and still images,
store captured images and video to CD or DVD
print images
enter the patient name and MRN with the patient record
Recorded data cannot be reviewed in this mode. This mode is recommended as a quick, simple means to capture data, especially for the casual or inexperienced user. In Advanced mode, the full functionality of MediScan® is available. Recorded images and data stored in the database can be reviewed and annotated in the Advanced mode.
